Terms and Conditions of business

Conditions Applicable to the hire of Rooms, Services and Reservation of Functions Facilities

The following conditions shall apply to all reservations for function facilities, services and the hiring of rooms wherever the venue chosen maybe. The customer having received a copy of the same shall be deemed to be bound by them.

  1. Definitions
  2. The following words shall have the following meaning in these Conditions:

    • "Venue" shall mean the Venue chosen.
    • "Company" is the Management and/or Staff of Pink Events, Events Organiser.
    • "Customer" is the person, persons or Limited Company reserving rooms or function facilities at the Venue either via the Company or not.
    • "Event" shall mean the function which the Customer has requested the Company to organise.

    Where the Customer shall be more than one, then liability hereunder shall be joint and several.

  3. Numbers
  4. An estimate of the number of people expected to attend the Event at the Venue shall be given to the Company at the time of booking. This number shall not vary by more than 10% and in any event, no change in numbers shall be allowed less than 96 hours before the Event is due to start.

    The Customer shall pay the Company either (a) the agreed amount per head for the actual number of persons attending the Event or (b) the agreed amount per head of the number of persons notified to the Company as attending whichever the greater.

    The Customer shall notify the Company of the precise number of persons attending the Event no later than 5 p.m. four working days preceding the Event.

  5. Deposits
  6. A deposit of 50% of the anticipated cost of the Event calculated as an amount per head of persons attending as notified by the Company to the Customer shall be paid at the time the booking is confirmed by the Company.

    The balance of the anticipated cost shall be made not later than 21 days prior to the date of the function, and for the Christmas period not later than the 11th of November of the same year. All cheques are to be made payable to Gillian Webb.

  7. Payment of Balances
  8. Payment of all balance sums due other than the anticipated costs shall be made within 7 days of the Event. Any dispute regarding the amount payable must be brought to the Company attention of the Company in writing within 24 hours of the final invoice.

  9. Cancellation
  10. The Company reserve the right to cancel the booking or reservation for the Event if the Customer fails to perform any of its obligations herein, save as it appears hereafter. If this contract shall be terminated or cancelled for any reason, the Company shall be entitled to claim from the Customer the following amounts:

    • If cancellation takes place more than 38 days before the Event; 50% of the anticipated total cost.
    • If cancellation takes place not less than 22 days and not more than 37 days before the Event: 75% of the anticipated total cost.
    • Any cancellation taking place less than 21 days before the Event; 100% of the anticipated cost.

    If the Company is prevented from carrying out its obligation hereunder in circumstances beyond its reasonable control including Government intervention, strikes, labour disputes, accidents, acts of God, national or local disasters or war, then the Company's liability hereunder shall be limited to the return of monies already paid by the Customer to the Company in respect of the Event. The Company does not accept liability for loss or damage to any item of equipment, furniture or other property of any sort brought into the Venue by the Customer, howsoever such loss or damage may occur. In any matter when the Venue is found liable, the Customer accepts that the liability of the Venue is limited, such liability is determined by the Venue and it is the Customer's duty to enquire about such with the Venue. The Company only uses Venues that are reputable and have full Public Liability Insurance.

  11. Punctuality
  12. The Customer agrees to commence the Event promptly at the time agreed with the Company and to procure that those persons present at the Event vacate the Venue at the time agreed between the Customer and the Company.

    The Customer agrees to ensure the good behaviour of all persons present at the Event and shall be liable for any damage caused to the Venue by persons attending the Event. The Customer agrees to ensure that the Venue's accommodation reserved for the Event shall be cleared of all materials and equipment brought there within one hour of the termination of the Event. The Company and Venue reserves the right to eject any persons from the Event who it shall consider objectionable.

  13. Additional services
  14. The Customer agrees to pay the Company such reasonable charges as shall be notified by the Company for any goods and services provided other than those the subject of the agreement between the Customer and the Company where such goods and services have been provided at the request of the Customer or any person purporting to act on behalf of the Customer and having ostensible authority to do so. No food or beverage of any kind may be brought onto the Venue by the Customer or any of the Customer's guests unless previously agreed in writing between the Company and the Customer.
